[Business] Admission Officer - Full time
Position Overview
Lead the end-to-end student recruitment and admissions process at AHIS, balancing enrollment targets with a high-quality parent experience.
This role goes beyond administrative support, serving as a key representative of the school—communicating AHIS’s philosophy with clarity, building trust with prospective families, and supporting them in making informed enrollment decisions.
Key Responsibilities
1. Student Recruitment & Inquiry Management

Respond to inquiries from various channels (website, referrals, events, etc.)

Maintain ongoing communication with prospective parents (email, phone, in-person)

Clearly explain the school’s philosophy, curriculum, and tuition structure

Understand and address parents’ interests, questions, and concerns
2. Admissions Process Management

Plan and manage school tours and information sessions

Guide applicants through the application process; collect and review required documents

Coordinate interviews and assessments

Communicate admissions decisions and guide families through enrollment procedures

Manage enrollment capacity and class composition
3. Parent Experience Design & Enhancement

Provide follow-up support to families before and after enrollment

Respond thoughtfully to questions and concerns related to the transition

Support families from diverse cultural and linguistic backgrounds

Handle initial responses to issues or complaints and coordinate with relevant stakeholders
4. Internal Coordination & Operational Support

Collaborate with the Head of School and academic team (class capacity, admissions criteria, student placement)

Work with Business Manager, Admin and Finance (contracts, billing, enrollment documentation)

Track and share key metrics such as inquiries, conversion rates, and withdrawals
5. Recruitment & Process Improvement (as the organization grows)

Visualize and report on recruitment performance

Propose improvements to the admissions process

Support updates to the website and marketing materials

Assist in planning referral programs and events
Role Expectation

Build trust as a key representative (“face”) of the school

Support thoughtful and well-informed enrollment decisions rather than hard selling

Balance quantitative goals (enrollment targets, conversion rates) with qualitative aspects (parent concerns and experience)

Serve as a bridge between the academic team and school management
Required Qualifications

Professional experience in client-facing roles (e.g., sales, customer support, front desk, education-related roles)

Ability to manage multiple cases simultaneously

Ability to understand and communicate educational philosophy with integrity

Proficiency in both Japanese and English
Preferred Experience
