Akiya Hayama International School (AHIS) respects your privacy and handles personal information in accordance with Japan's Act on the Protection of Personal Information (APPI).
What we collect and why
We collect student and family contact details, application information and school records to manage admissions, education, student support and safety, family communications, fees, activities and school services. With your agreement, we also send information about AHIS events and admissions to families who ask to hear from us.
We collect necessary health, medical and learning-support information with consent where required. Photos, recordings and student work support learning; optional community sharing and publicity follow your media choices.
School systems and sharing
Access is limited to staff and providers who need information for school purposes. We oversee providers and obtain consent for other disclosures unless permitted or required by law.
Parents and guardians use our school information system and learning platform to see information about their child and communicate with the school, and students use the learning platform for learning activities and portfolios. AHIS creates and manages these accounts. Our providers process this information under contract and do not use it for advertising or their own purposes.
Some providers process information outside Japan. We assess their safeguards and comply with applicable Japanese requirements, including obtaining consent where required.
Approved AI tools may support school work under staff oversight. We only approve tools whose providers do not use our information to train AI models or for advertising. Staff review AI-assisted work, and decisions about students are made by staff.
Security and retention
We protect information through access controls, secure accounts and devices, staff training and provider oversight. We retain it only as needed for its purpose and applicable recordkeeping requirements, then securely delete or dispose of it.
Website and cookies
Our website may use cookies and analytics to operate and improve the site. These may collect IP addresses, browser details and usage information.
Children
Parents or legal guardians give consent and make requests for their children. Guardians may ask us to stop using a child's personal information, and we will respond as the law requires.
Your choices
You may change optional media choices at any time without affecting admission or education. You can also stop event and admissions emails at any time.
Rights, contact and updates

You may request access to personal information or relevant third-party disclosure records, correction, deletion, or stopping use or disclosure, as provided by law. We may verify your identity and authority. Updates to this policy will appear on our website.
