Position Overview
Serve as the operational backbone of AHIS, leading core HR and administrative functions to enable the academic and leadership teams to focus on their primary responsibilities.
This role also acts as the main point of coordination with external partners (legal, accounting, labor), organizing and connecting information across internal and external stakeholders.
Key Responsibilities
1. HR & Recruitment

Manage end-to-end recruitment processes for faculty and staff (job postings, interview coordination, offer communication)

Handle onboarding and offboarding processes; manage employment contracts

Support international staff with employment-related procedures (in coordination with external visa specialists)

Maintain attendance and HR data; manage onboarding operations
2. General Affairs & Office Management

Oversee school and office environment setup; manage equipment and supplies (in coordination with facilities/building team)

Manage various contracts (facilities, IT, insurance, outsourcing, etc.)

Establish and maintain internal policies and operational processes

Liaise with government bodies and external organizations; handle initial responses to issues (in coordination with the community manager)
3. Coordination with External Partners (Legal, Accounting, Finance)

Serve as the point of contact with external legal counsel, labor consultants, and accounting firms

Organize and share contracts, invoices, and required documentation

Manage monthly and annual administrative schedules
Note: Specialized decisions are handled by external experts or leadership; this role focuses on coordination, organization, and process management.
4. Internal Coordination

Collaborate with Head of School and academic team

Connect information across Business Manager, Admissions and other business members

Handle internal inquiries and coordinate meetings

Required Qualifications

Professional experience in people-facing roles (e.g., sales, customer support, front desk, education-related roles)

Ability to manage multiple tasks and priorities simultaneously

Ability to understand and communicate organizational values with integrity

Proficiency in both Japanese and English
